How to plan an AI website employee before choosing a model.

The model is only one component. A reliable system starts with a clearly defined customer-facing job, trustworthy knowledge, visible boundaries, and an accountable human review process.

Why planning comes before tooling

Teams often begin by comparing AI providers or building a chat widget. That reverses the order of work. Without a defined responsibility and source policy, even a capable model can produce inconsistent answers, collect irrelevant details, or hide the path to human help.

A useful AI website employee is an operating process: approved information enters, visitor intent is interpreted, a bounded action is taken, and uncertain or sensitive situations are escalated.

The six-part planning checklist

Choose one primary job

Start with customer support, lead qualification, appointment enquiries, or product guidance—not all of them at once.

Define approved knowledge

List the pages, FAQs, policies, documents, and structured data the employee may use. Assign an owner to keep them current.

Write escalation rules

Specify when the employee must stop, ask for contact details, or pass the conversation to a person.

Select useful visitor context

Collect only the information required for the next step. Avoid long forms disguised as conversations.

Choose success measures

Track resolved questions, qualified enquiries, handoff quality, unanswered topics, and visitor completion rates.

Create a review routine

Review real conversations regularly and improve knowledge or rules from evidence rather than assumptions.

A strong first release is intentionally narrow

Launch with a small set of verified questions or a single qualification workflow. Make the human path obvious. Review what visitors actually ask, then expand only when the evidence shows that new knowledge or responsibilities will improve outcomes.
